Add Knowledge
Add approved files or connect an approved source. Before anything is processed, show the owner, access level, and retention setting.
Ready message: “Your knowledge is ready. Ask a question, or add more sources.”
Ask
Prompt users with examples tied to their role and available knowledge, not generic chatbot suggestions.
Working message: “Reviewing approved knowledge…”
Review
Keep the supporting record next to the answer. Make uncertainty understandable without exposing internal mechanics.
Low-support message: “I couldn’t verify that from the knowledge available to you.”
Access
When a source is restricted, explain that it exists without revealing its contents, then offer a clear request path.
Access message: “This answer depends on restricted knowledge. Request access from the workspace owner.”
No Result
Do not hide uncertainty behind a generic failure. Tell the user whether no approved source matched, access was limited, or the service needs attention.
Next step: “Try a different phrase, add an approved source, or contact your administrator.”
Control
Use direct actions: View source, Update access, Replace version, Remove from memory, and Review activity.
Confirmation: “Removed from active memory. The change is recorded in activity history.”
